General Info

Holiday Inn Baltimore-Inner Harbor (Downtown)’s commitment is to provide exceptional service and generous hospitality. The following guidelines and information are offered to ensure the fine quality of your event.



For the various Holiday Inn Baltimore-Inner Harbor (Downtown)’s departments to prepare properly for your successful event(s), a final attendance number must be determined and communicated to your Sales Manager by 12 PM five (5) business days prior to the event. This number will be considered a guarantee not subject to reduction. Charges will be assessed accordingly. Holiday Inn Baltimore-Inner Harbor (Downtown) will set 5% over the guarantee.  Holiday Inn Baltimore-Inner Harbor (Downtown) will not be responsible for identical service to more than 5% over the guarantee.

Menu selections are due (1) month prior to the event; we will gladly accommodate special dietary requests. Please advise if you plan to utilize meal tickets for food or beverage.

Based on a minimum of twenty-five (25) guests, we respectfully request to limit the main course selections to two (2). For smooth service, please accept the responsibility to identify the main course selections at the time of service as well as for providing the count for each main course selection at the time of your guarantee. We will gladly provide you with color-coded meal cards upon request.


Food and Beverage

All food and beverage for wedding receptions or other wedding-related events must be supplied by Holiday Inn Baltimore-Inner Harbor (Downtown) which is the only authorized licensee to sell and serve liquor, beer and wine on the premises. All food and beverage prices are guaranteed ninety (90) days prior to the date of the function. Your Sales Manager will be happy to customize specialty menus at your request. You will receive an advanced copy of our Banquet Event Orders to which you may make amendments.


Alcoholic Beverages

The sale and service of all alcoholic beverages is regulated by the Maryland State Legislative Commission. Holiday Inn Baltimore-Inner Harbor (Downtown) is responsible for the administration of those regulations. This includes that a licensed bartender dispense all alcoholic beverages. No alcoholic beverages are permitted in the Holiday Inn Baltimore-Inner Harbor (Downtown) meeting and event rooms unless purchased through Holiday Inn Baltimore-Inner Harbor (Downtown)’s catering services.

All persons consuming liquor at Holiday Inn Baltimore-Inner Harbor (Downtown) events must be 21 years old. Holiday Inn Baltimore-Inner Harbor (Downtown) reserves the right to terminate liquor service at any event if minors intending to consume alcoholic beverages are in attendance.


Meeting Room Set Changes

If a change in the original room set-up for any wedding site is requested on the day of the function, an additional labor fee of $200 or more will be added to the banquet check.

Function rooms are assigned based on the expected number of guests. The hotel reserves the right to adjust room assignments based on your final guarantee and reserves the right to move functions to comparable meeting or banquet rooms other than those appearing on this contract.


Room Rental Fees

Room rental fees are assessed for all events. These fees are based on several factors, including size of room, type of event, number of guests, food & beverage guarantees and/or guestrooms utilized.


Service Charge and Pricing

A 22% service charge will be added to the banquet menu prices stated. Menu prices are subject to change, with prices guaranteed 90 days prior to the event date. Children’s menus are available off our regular banquet menus. Prices are years 0-2 free, 3-8 half price, and 9 & older, full price.


Bartender Services

A bartender fee of $125 per 100 guests will be assessed. All bars are limited to four (4) hours.


Audio Visual Equipment and Electrical

Holiday Inn Baltimore-Inner Harbor (Downtown)’s audio-visual department is equipped to handle all your audio-visual needs and offers a broad range of state-of-the-art audio-visual equipment and services. You may bring your own A/V equipment, however, should you require an audiovisual technician, we will gladly make arrangements for $55 per hour.

A/V fees are charged for equipment rental, setup-strike labor, service charge, plus tax. A service charge of 20% will be applied to all A/V equipment rented through Holiday Inn Baltimore-Inner Harbor (Downtown). Additional electrical power is available for most function rooms. Charges, through Holiday Inn Baltimore-Inner Harbor (Downntown)’s Engineering Department, will be assessed on labor and per amp, per phase per day basis. Arrangements must be made in advance with your Sales Manager.



To ensure the success of your event, please notify your Sales Manager of any decorations or displays you are planning to use. In order to prevent damage to the fixtures and furnishings, please do not attach any items to the wall, floor or ceiling. Holiday Inn Baltimore-Inner Harbor (Downtown)’s staff will happily assist you with setting up your items for $50 per hour. The host will assume all responsibility for any damages to Holiday Inn Baltimore-Inner Harbor (Downtown) premises from such items. Signage is not permitted in the lobby or public areas of Holiday Inn Baltimore-Inner Harbor (Downtown) without prior approval.  Smoke machines, glitter, confetti and rice are not allowed in the hotel.  Also, open flame candles are not allowed, all candles must be contained.



The hotel reserves the right to exercise final authority over bands, DJs, musicians and other entertainment in regard to volume and professionalism, whether secured by the customer or the hotel.  The hotel reserves the right to require security for any function the hotel deems appropriate or necessary at the client’s expense.



Holiday Inn Baltimore-Inner Harbor (Downtown) is the exclusive caterer for all catering needs and hotel guests. No food or beverage may be brought into banquet rooms. No food or beverage may be removed from the premises at the conclusion of the event.



We kindly request that you begin your event promptly at the scheduled time and that you vacate the designated function area at the closing hour as indicated.

Holiday Inn Baltimore-Inner Harbor (Downtown) reserves the right to substitute alternate meeting space within the hotel if it deems necessary or if the attendance deviates from the number originally indicated.



Holiday Inn Baltimore-Inner Harbor (Downtown) will not assume responsibility for damage or loss of any gifts or articles left at Holiday Inn Baltimore-Inner Harbor (Downtown) before, during or following any event.


Shipments and Storage

Boxes for your event may be shipped directly to the hotel.  It is helpful to number all boxes to the attention of the Sales/Catering Manager and Name.  We will deliver up to five (5) boxes to your meeting room complimentary.  Any boxes above the initial five (5) will be delivered at a charge of $5 per box.  We can only accept packages one (1) day prior to your function date.  Any storage of shipped materials more than one (1) day will result in $75 per day storage fee.
